Herbal Tea OEM Pricing: Seasonal Raw Material Costs, Cutting Yield and Packaging Minimums

Herbal tea quotes confuse brand owners: the same goji and jujube blend can come back at half the price from one plant versus another. The difference is rarely who marks up more; it sits in three variables - raw material grade, cutting yield loss and packaging minimums. In herbal tea OEM negotiation, opening up the cost structure is the only way to judge whether a price is fair and where the optimisation room is.

Herbal Tea OEM Pricing: Seasonal Raw Material Costs, Cutting Yield and Packaging Minimums

1. Raw material: the largest and most volatile share

Raw material typically accounts for 55 to 70 percent of cost. For goji alone, origin - Ningxia, Qinghai, Xinjiang - grade, set by berry count per 50 grams from premium down to fourth grade, and whether sulphur was used can move the price by a factor of two or three. Flowers vary more still: petal integrity and picking window decide the grade. When enquiring, specify grade, origin and test standard rather than just a product name, or the quotes you collect cannot be compared at all.

2. Seasonality: timing the buy sets the cost

Agricultural inputs are strongly seasonal. Prices usually sit lowest around the new harvest and climb during the lean months. Buying chrysanthemum when the autumn crop lands can save 15 to 25 percent against buying the following summer. The smart move is to agree batch price locks or off-season stocking with the plant, spreading the annual raw material cost. Conversely, a quote far below market should raise the question of old stock or a lower grade - in agricultural goods, cheap always has a reason. Asking which month the plant last bought the material often tells you more about the number than the number does.

3. Cutting and blending loss: the hidden cost

From raw material to finished bag, herbal tea passes through sorting, cutting, sieving and sterilisation, and every step loses material. The finer the cut, the greater the powder loss; sieving typically removes 3 to 8 percent as fines. Dosing accuracy on expensive ingredients such as dendrobium or American ginseng also moves cost directly. A disciplined plant issues a yield table from charge weight to finished weight, which lets the brand reconcile real usage. Opaque yield is usually how an artificially low quote is disguised. A plant that quotes without stating yield is in effect asking you to absorb whatever the loss turns out to be.

4. Packaging minimums: the killer for small runs

Packaging is the second cost block and the most underestimated. Filter bags, whether non-woven or corn fibre, pyramid bags, cartons and canisters all carry minimums - commonly 10,000 units for filter bags and 3,000 to 5,000 for printed cartons. On small runs the unit price climbs steeply and can overtake the raw material cost. Three responses: use the plant's standard packaging where possible, cut SKU count by consolidating formats, or accept a higher unit price on the first order in exchange for a lower minimum. Settle who pays plate and tooling charges before signing.

5. Sterilisation and testing: compliance cost you cannot cut

Herbal tea is a food, so release requires microbial testing, and materials with pesticide and heavy metal screens need third-party reports. Irradiation and steam sterilisation differ in cost: irradiation preserves the colour of flowers better but carries labelling obligations, while steam is cheaper and harder on colour and aroma. Testing is billed per batch, so smaller runs carry a higher charge per bag. This is the block most easily dropped in a price comparison, yet it decides whether the product can be listed at all. Ask which sterilisation route the price includes, and whether the labelling that follows from it is acceptable in your target market.

6. How to judge whether a quote is fair

Ask the plant for an itemised price: raw material with name, grade, unit price and usage; processing covering sorting, cutting, blending, sterilisation and packing; packaging with material, unit price and minimum; then testing and other charges. Itemisation makes side-by-side comparison possible and shows where to optimise. Also confirm validity period, the price adjustment mechanism and volume tiers. A quote with only a total looks simpler but leaves every uncertainty to production, where it returns to the brand as surcharges. Two quotes built on different grades are not comparable at any price.
